Job Details

To perform and provide duties within the Breast Care Center that will assist in the processing of patient services including but not limited to scheduling reception registering patients and medical records duties.
  • Performs duties of the Receptionist/Secretary:
    • Greet patients and obtain demographic and insurance information and register patient into system.
    • Answer telephone in a professional, courteous and pleasant manner in less than four rings following departmental policy for scripting. Directs calls to appropriate persons and/ or departments taking information and/or accurate messages.
    • Obtain legally acceptable general consents to bill third parties.
    • Answer routine questions including but not limited to departmental policies, operations and procedures.
    • Schedule patients’ appointments in person or by phone.
    • Sort and distribute all mail to physicians and manager daily.
    • Verify and accurately enter radiology orders in the radiology information system.
    • Register patient using the electronic registration system, scan identification, license and appropriate forms needed for the appointment.
    • Verify patient appointments, provide necessary forms to patient when appropriate and direct/escort patient to proper examination area or notify appropriate area of patient arrival.
    • Provide receptionist and typing services for manager and Radiologist as needed.
    • Copy and/or provide radiology record information to outside facilities and Physicians under established guidelines.
    • Ensure accurate maintenance of administrative records.
  • Performs duties of the Medical Records Clerk:
    • Responsible for processing, assembling, reviewing, filing and retrieving confidential patient records.
    • Under the general supervision of the department Manager; locate, pull and prepare charts for the following day’s schedule.
    • Assist in location of missing charts and compile new charts.
    • Pull charts for all incoming patient medical records in all media types and distribute charts to secretary, nurse, physician or manager as appropriate.
    • Pull charts for messages as needed.
    • File patient medical records and medical reports in all media types in accordance with department policy and procedure, ensuring effective retrieval.
    • Identify and resolve misfiled or mislabeled medical records.
    • Re-file pulled charts and periodically purge files to inactive storage by:
      • Shifting medical record folders as shelving space requires, ensuring even distribution of folders on shelves.
      • Prepare, pack and store inactive medical records.
    • Copy and /or provide medical records information to outside agencies and physicians under established guidelines. Informs requestors of the status of their request per departmental policy and procedure.
    • Prepare cases for Breast Conference; make sure images are in the PACS system ready for the Radiologist. Run “T” (taken) list for outstanding film that have not been read and give to Manager.
    • Transports specimens for specified departments within the Cape Cod Hospital campus according to department policies and procedures.
  • Performs duties of the Scheduler:
    • Responsible for scheduling multiple procedures and rooms accurately, adhering to department standards.
    • Act as a liaison for and receives all calls from physician offices.
    • Checks and updates schedules for multiple departments on a daily basis.
    • Confirms appointments within 24 hours prior to appointment.
    • Produces and distributes necessary paperwork (such as procedure forms) to Radiologist. Reviews all patient information before procedure, and retrieves symptomatic notes from physician offices.
    • Answer routine inquiries and telephone calls from patients, physicians, and other hospital personnel in a courteous manner within a reasonable amount of time.
    • Maintains appropriate department records and filing system to ensure efficient retrieval of information. Photocopy/fax information as needed and checks to make sure all reports, films, and CD’s are available for procedure.
    • Obtain accurate and required information when scheduling appointments (diagnostic, etc.) ensuring patient demographic information is updated and current.
    • Request confirmation letters and reports via information system as needed.
    • Responsible for timely notification to patients of appointment time and proper procedure instructions.
    • Notify additional imaging (Add View) patient of their new appointment time in a timely fashion.
    • Send out certified letter by the computer system to patients who no show for additional imaging, procedures, etc.
    • Relay any (Add View) error in the prior schedule and report to manager for timely intervention of procedural problems.
    • Pre-register patients in the electronic patient registration system.
    • Verify insurance referrals for Breast Care Center procedures.
  • Maintains confidentiality regarding patient information and center matters in accordance to HIPAA regulations.
  • Maintain harmonious and cooperative relations with fellow employees, medical staff, patients and guests.
  • Performs other work related duties and activities as assigned or directed by his/her supervisor or manager.

  • Ability to read, write and communicate in English.
  • High school graduate or equivalent.
  • Keyboard 30 wpm as demonstrated by a timed test.
  • Successful passage of basic Medical Terminology course OR successful passage of the CCH Medical Terminology exam.
  • Minimum six (6) months experience in patient registration, admitting, nurse's aide, medical secretary, medical receptionist, or similar position.

Schedule Details: Per diem hours, 7a-12p rotating days Mon-Fri, 8a-4:30p weekends at both Cuda and Fontaine
