Description
Clinical Administrative Assistant has the responsibility and authority for maintaining the smooth operations of the Clinical/Executive functions under her/his direction.
  • Maintains and schedules appointment/meeting calendar of the Clinical Manager.
  • Processes and prioritize correspondence for the Clinical Manager and clinical staff to include, but not limited to, internal communications, i.e. memos minutes, etc.; external communications, i.e. letters, contracts, reports, community correspondence, and regulatory requirements.
  • Recieves, screens and forwards telephone correspondence to Clinical Manager, appropriate manager or staff.
  • Assists the Clinical Manager in the preparation and execution of meetings and special program presentations.
  • Provides administrative support.
  • Directs the Clinical Assistants in maintaining policy and procedure manuals at remote sites.
  • Develops office system procedures to assure the smooth flow of paperwork between all clinical offices with particular attention to non-staff sites.
  • Coordinates the dissemination of information to clinical and IS support staff at VNA/West campus regarding new office systems in place and provides guidance regarding office procedures.
  • Provide administrative support to Senior Team and other committees in the absence of the Executive Assistant. Provides administrative support for nurse committee meetings.
  • Provide administrative support to the policy and procedure committee and coordinates and assures the dissemination of policies and procedures to the Professional Advisory Committee.
  • Orders, distributes and maintain logs of clinical equipment (e.e., pulse oximeter, Littman, etc.)
  • Prepares monthly clinical and agency master calendar.
  • Processes purchase orders for office supplies, book subscriptions, yearly renewals of PDF’s, medical directories, etc. for all offices.
  • Prepares and maintains VNA East rosters and calling trees.
  • Processes requests for clinical staff to attend educational seminars.
  • Other duties as assigned.

Qualifications:
 
  • High School diploma or equivalent, Associates Degree preferred.
  • Minimum five (5) years experience in Secretarial/Administrative Assistant function for upper level management, preferable Executive/Operations Management. One (1) year office administration preferred. Knowledge of medical terminology.
  • Proficient with word processing, E-mail, spreadsheet and computer-generated operational graphics skills; preferably WordPerfect, Excel, and Harvard Graphics.
  • Possess effective written, oral and telephone skills demonstrated in a professional manner.
  • Experience in serving as secretary to committees preferred.
  • Defined understanding of position’s level of responsibility within organization to effectively communicate internally and externally, yet maintain appropriate confidentiality.

Schedule Details: 37.5 hours per week, days, Monday - Friday
