Cape Cod Healthcare is the leading provider of healthcare services for residents and visitors of Cape Cod.  With more than 450 physicians, 4,700 employees, and 1,100 volunteers, Cape Cod Healthcare operates two-acute care hospitals, the Cape's leading provider of homecare and hospice services (VNA), a skilled nursing and rehabilitation facility (JML Care Center), an assisted living facility (Heritage at Falmouth), the Cape's only local laboratory service (CCHC Laboratory Services) and numerous health programs.  We are currently seeking a dedicated Practice Manager to join our team at Cape Cod Hospital.

Responsible for the management of all phases of office operations for the Hospital Based Practices at CCH, including fiscal oversight, staff and patient services. 



1.     In collaboration with the Medical Director and Administration:  Develop and define departmental goals for operational and financial performance and work with physicians and staff to achieve these goals; prepare departmental budgets annually; develop and review monthly "dashboard" reports on key performance indicators and manage practice to meet and exceed targets.

2.     Manage expenditures to improve financial performance including:

a.     Design and adjust staffing for efficiency of service

b.     Identify expenditures that can be avoided or reduced

c.      Monitor performance compared to budget 

3.     Coordinate activities to ensure that practice operations conform to principles of excellent clinical care; create and monitor office systems that promote excellent customer service and customer satisfaction including:

a.     Ensure that customer service standards/scripts are implemented for all patient interactions, all patient phone calls flow to the appropriate person and are handled in an efficient and friendly manner.

b.     Review patient satisfaction results on a monthly basis and create action plans to maintain and improve excellent patient care at the practice.

4.     Manage practice systems and processes to improve patient access,  patient servicing and  improve financial performance including:

a.     Assist physicians in reviewing productivity in relationship to goals and in improving work flow or efficiency

b.     Ensure complete charge capture, prompt billing, and correction of any problems in diagnosis or CPT coding

c.      Ensure complete collection of patient responsible charges at time of visit

d.     Participate in documentation training

e.     Analyze and improve systems to promote smooth patient flow and physician efficiency in seeing patients.

5.     Maintain knowledge of HIPAA and Compliance requirements and oversee compliance for the practice.

6.     Maintain regulatory agency requirements in accordance with their standards.  Maintain all current registrations, licenses and certificates as necessary.  Ensure re-credentialing and paneling of medical staff.

7.     Liaison between clinicians and billing service to assure accurate claim entry and reimbursement.

8.     Responsible for the management of all non-clinical practice staff including, staff selection, training, scheduling, ongoing staff performance feedback and annual evaluations.    Counsel employees, recommends personnel actions, and addresses conflicts among staff and brings them to a resolution.  Assess staff skills and create development plans.

9.     Standardize physician schedules, performance and accountability to provide maximum return.   Schedules locums as needed to provide coverage.

10.  In collaboration with the Medical Director and Administration, lead efforts to improve quality and performance measurement and improvement in the practice(s).

11.  Responsible for overseeing the patient and medical records for the practice.   Ensures compliance with policies and procedures and acceptable medical record keeping practices.  Assists in the preparation of medical records for utilization review.

12.  Ensures that customer service standards are implemented for all positions.

13.  Purchases equipment and materials required for the day-to-day operations of practice; overall responsibility for coordinating building improvements and maintenance.

14.  Prepares administrative and management reports, correspondence.  Conducts special projects and related activities for the practice as requested.

15.  Engage in continuous learning activities to stay current with best practices is medical practice management and issues that affect the practice. 

16.  Daily review of clinical dictations to ensure all dates of service have dictations and to ensure clinical information ties directly with scribed note and with billed services.

17.  Liaison with CCH IT team to train all staff and implement Electronic Medical Record.

18.  Understanding and competency of Administrative Assistant and other staff such that, during critical staff absences, operations manager is able to assume these roles.

19.  All other duties, as assigned.



·       Bachelor's Degree in Healthcare, Business or related degree required or an equivalent amount of related experience and education that demonstrates the necessary skills and abilities to perform the duties of the position.  Master's degree preferred.

·       Minimum of 3 - 4 years of supervisory experience in a medical facility required.

·       Proficient in computer applications including Electronic Medical Record, Scheduling systems, Microsoft Office, Excel, Word, Outlook. 

·       Experience with Process Improvement preferred

·       Excellent interpersonal, problem solving, critical thinking, leadership and communication skills required.
