Cape Cod Healthcare is the leading provider of healthcare services for residents and visitors of Cape Cod.  With more than 450 physicians, 4,700 employees, and 1,100 volunteers, Cape Cod Healthcare operates two-acute care hospitals, the Cape's leading provider of homecare and hospice services (VNA), a skilled nursing and rehabilitation facility (JML Care Center), an assisted living facility (Heritage at Falmouth), the Cape's only local laboratory service (CCHC Laboratory Services) and numerous health programs.  We are currently seeking a dedicated Receptionist to join our team at MACC.

  

PURPOSE OF POSITION:

To provide clerical/secretarial and customer service support to the physician's practice.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Provide secretarial/clerical coverage in an efficient, timely and professional manner.
  2. Schedule patient appointments in person or by telephone.  Prepare reports and correspondence, produce schedules and charges from automated systems.
  3. Locate, pull and prepare charts for the following day's schedules. Maintain physician's daily appointment schedule. Assist in location of missing charts and compile new charts.  Open and distribute mail.
  4. Greet patients and obtain demographic and insurance information and register patient into system.  Answer telephone in less than four rings, direct calls to appropriate persons and take accurate messages.  Obtain legally acceptable general consents to bill third parties.  Secure copies of valid insurance cards.
  5. Schedule appointments necessary with laboratory, radiology, other physicians, etc.  Prepare associated forms such as requisitions or referral forms with review of any prep required. Review payment policies and collect monies due.
  6. Maintain patient records including the retrieval of patient charts to file correspondence, reports, test results, etc.  Pull charts for telephone messages as needed.  Refer to billing those patients unable to pay and/or have questions regarding billing.
  7. Copy and/or provide medical records information to outside agencies and physicians under established guidelines and print reminder cards weekly.  File pulled charts. Distribute charts to secretary, nurse or physician as needed.
  8. Performs all responsibilities/duties required by the position as defined in the scope of service, to assure that the needs of the patient are well served.
  9. Ensure accurate maintenance of administrative records and work/communicate cooperatively with co-workers, patients, visitors and other personnel within and outside the practice.
  10. Perform other essential work related duties as requested/directed.  Demonstrate the ability to adjust to unexpected changes to assure that all responsibilities / duties are met during absences or increased patient volumes.

EDUCATION/EXPERIENCE/TRAINING:

  • Experience in an office setting with at least 1 year experience. 
  • Medical Terminology knowledge preferred. 
  • Strong communication and interpersonal skills required. 
  • Experience of current office technology, proficient in computer office application.
